Cancellation Policy
Effective 1 June 2026 · VAI/POL/2026/CAN-001 v1.0 · Read together with the Refund Policy
At a glance
This summary is provided for your convenience. The full Policy below governs in case of any conflict.
- You can cancel your participation in Nirmaan AI at any time, in any of the modes described in clause 3.
- Cancellation and refund are different things. Cancellation ends your engagement with the programme. Whether a refund is due is governed by our Refund Policy (VAI/POL/2026/RP-001).
- Within the first 7 days of enrolment, you may cancel for any reason. A full refund is available under the Refund Policy provided no Participant Submission has been made.
- Future billing cycles in any subscription or EMI arrangement are cancelled within 7 working days of your request.
- On cancellation, your access is revoked, your public portfolio is taken offline, and your personal data is handled in accordance with our Privacy Policy.
- A Certificate already issued to you remains valid by default, unless the cancellation triggers a refund or you request revocation.
If you are an Indian consumer, this Policy does not affect your statutory rights under the Consumer Protection Act, 2019 or the Consumer Protection (E-Commerce) Rules, 2020. If you are a participant outside India, your rights under your home jurisdiction’s consumer protection law are also preserved.
1. Purpose and Scope
This Cancellation Policy ("Policy") sets out the modes in which a participant may cancel their engagement with the Nirmaan AI programme offered by Vasudhaiva AI Solutions LLP ("Vasudhaiva", "we", "us", or "our"), and the modes in which Vasudhaiva may cancel a participant’s engagement. It also sets out the consequences of cancellation for access, data, subscriptions, and Certificates.
This Policy forms part of, and must be read together with, the Nirmaan AI Terms of Service (VAI/POL/2026/TOS-001), the Refund Policy (VAI/POL/2026/RP-001), and the Privacy Policy (VAI/POL/2026/PP-001). In the event of any conflict, the document with primary subject-matter jurisdiction prevails: this Policy on the mechanics and effects of cancellation; the Refund Policy on the entitlement to and quantum of any refund; the Privacy Policy on the handling of personal data.
This Policy applies to all participants in Nirmaan AI, in all markets in which Nirmaan AI is offered, save where a market-specific addendum has been published. Where a market-specific addendum applies, that addendum is read with this Policy and prevails over this Policy in case of conflict.
2. Definitions
Defined terms in this Policy carry the meaning given in the Terms of Service. In addition:
- "Cancellation" means the ending of a participant’s engagement with the Nirmaan AI programme, in any of the modes described in clause 3.
- "Cancellation Request" means a request made by the participant in accordance with clause 9 of this Policy.
- "Cooling-off Period" means the seven (7) calendar days from the Enrolment Date, as defined in the Refund Policy.
- "Enrolment Date" means the date on which Vasudhaiva confirms successful payment of the Nirmaan AI fee and provisions platform access to the participant, as defined in the Refund Policy.
- "Working Day" means a day, other than a Saturday, Sunday, or public holiday in Vadodara, Gujarat, on which banks in India are open for general business.
3. Modes of Cancellation
Cancellation may take any of the following forms. Each mode is governed by a specific clause of this Policy and carries specific refund consequences under the Refund Policy.
| Mode of Cancellation | Triggered By | Governing Clause / Refund Outcome |
|---|---|---|
| Pre-enrolment cancellation | Participant abandons the enrolment flow before payment is confirmed | Clause 4. No refund question arises. No charge has been raised. |
| Cooling-off cancellation | Participant cancels within 7 days of enrolment, before any Participant Submission | Clause 5.1. Full refund per Refund Policy clause 4 (window 1). |
| Mid-programme cancellation | Participant cancels after the cooling-off period or after a Participant Submission | Clause 5.2. Refund (if any) per Refund Policy clauses 4 and 6. |
| Subscription / recurring-billing cancellation | Participant cancels a subscription or recurring billing arrangement | Clause 6. Future billing cycles are cancelled. Refund (if any) per Refund Policy clause 12. |
| Account closure / DPDP erasure | Participant closes the account, or exercises the right to erasure under the DPDP Act, 2023 | Clause 7. Data handled per Privacy Policy clause 11.3. Refund (if any) per Refund Policy clauses 4 and 6. |
| Vasudhaiva-initiated cancellation without cause | Vasudhaiva discontinues a programme for reasons not attributable to the participant | Clause 8.2. Transfer to equivalent programme or pro-rata refund per Refund Policy clause 6.2. |
| Vasudhaiva-initiated cancellation for cause | Vasudhaiva terminates a participant for breach of the Terms of Service | Clause 8.1. Forfeiture of fees per Refund Policy clause 8.2. Goodwill refund possible at Vasudhaiva’s discretion. |
Clauses 4 to 8 describe each mode in detail. Clause 10 describes the operational effects of cancellation, regardless of mode.
4. Cancellation Before Enrolment
Where the participant has begun the enrolment flow but payment has not been confirmed, the participant may abandon the enrolment without notice and without any obligation. No charge will be raised, and no refund question arises.
Where payment has been initiated through a payment gateway but the gateway has not confirmed successful collection of funds, the participant should wait for the gateway’s status to settle before initiating any cancellation request. If funds are debited but enrolment is not confirmed within twenty-four (24) hours, the participant may contact legal@vasudhaiva.ai with the gateway transaction reference, and Vasudhaiva will reconcile the position and, if appropriate, reverse the charge.
5. Cancellation by Participant After Enrolment
5.1 Cooling-off Cancellation
Within the Cooling-off Period, the participant may cancel for any reason or for no reason, by following the procedure in clause 9. Where the participant has not made a Participant Submission, a full refund is available under clause 4 of the Refund Policy. The Cooling-off Period is a substantive right; it is not waived by the participant’s acceptance of the Terms of Service.
Where the participant has made a Participant Submission within the Cooling-off Period, the cooling-off right itself remains exercisable, but no refund is available, in line with the Refund Policy. The participant’s cancellation is processed, access is revoked under clause 10, and no further programme charges are levied; the fees already paid are not returned.
5.2 Mid-Programme Cancellation
After the Cooling-off Period, the participant may cancel at any time by following the procedure in clause 9. The participant is not required to give a reason. The quantum of any refund is determined under clauses 4 and 6 of the Refund Policy. The participant’s cancellation is processed and access is revoked under clause 10 regardless of whether a refund is due.
6. Cancellation of Subscriptions and Recurring Billing
Where the participant has paid for Nirmaan AI on a subscription or recurring-billing basis (for example, monthly or quarterly), the participant may cancel the subscription at any time by following the procedure in clause 9, or directly through account settings where this option is enabled.
Cancellation of a subscription prevents future billing cycles. The cancellation instruction is communicated to the relevant payment gateway within seven (7) Working Days. The participant is not entitled to a refund of fees already paid in respect of an active billing cycle, save under the windows in clause 4 of the Refund Policy (calculated by reference to the start of the relevant billing cycle) or under the exceptions in clause 6 of the Refund Policy.
Where the participant has paid the Nirmaan AI fee through an EMI (equated monthly instalment) facility, the cancellation of outstanding EMIs is processed through the payment gateway under clause 11 of the Refund Policy. Interest already accrued, foreclosure charges, processing fees, or other bank charges levied under the EMI facility are not refundable by Vasudhaiva.
7. Account Closure and Right to Erasure
The participant may close the Nirmaan AI account at any time through the account settings, or by writing to the Grievance Officer at legal@vasudhaiva.ai. Account closure is treated as a cancellation under this Policy. The handling of personal data following account closure is governed by clause 11.3 of the Privacy Policy.
Account closure is distinct from the right to erasure under the Digital Personal Data Protection Act, 2023. The right to erasure is a statutory data-protection right that may be exercised independently of cancellation. Where the participant invokes the right to erasure, the consequences include account closure, and the procedure in clause 11.3 of the Privacy Policy applies, with the 30-day service-level commitment specified there.
Where the participant has paid for Nirmaan AI and exercises the right to erasure during a refund window, the refund consequences in the Refund Policy apply alongside the erasure. The participant is encouraged to indicate the basis for the request so that Vasudhaiva can process both the data deletion and any applicable refund in a coordinated manner.
8. Cancellation by Vasudhaiva
8.1 Cancellation for Cause
Vasudhaiva may cancel a participant’s engagement with Nirmaan AI for cause under clause 13.1 of the Terms of Service, including for breach of the Acceptable Use rules, the prohibitions in clause 12 of the Terms of Service, or in cases of fraud, misrepresentation, or misconduct. Where the breach is reasonably curable and the circumstances permit, Vasudhaiva will, in its discretion, give the participant an opportunity to cure the breach before cancellation. Where cancellation for cause is effected, the participant is not entitled to a refund under clause 8.2 of the Refund Policy. Vasudhaiva retains discretion to issue a goodwill refund under clause 6.5 of the Refund Policy.
8.2 Cancellation Without Cause / Programme Discontinuation
Vasudhaiva may, for any reason not attributable to the participant, decide to discontinue the participant’s Nirmaan AI programme, including by way of withdrawal of a domain track, market closure, or strategic change. Where Vasudhaiva does so, the participant will be given reasonable advance notice and will be offered either: (a) transfer to an equivalent Nirmaan AI programme without additional charge; or (b) a pro-rata refund under clause 6.2 of the Refund Policy. The participant may also choose to cancel under clauses 5 and 9 if the offered alternatives are not acceptable.
8.3 Notice and Communication
Notice of cancellation by Vasudhaiva is communicated to the participant by email to the registered address on the Nirmaan AI account, and, where the participant has opted in, by WhatsApp. The notice will identify the basis for cancellation, the effective date, the refund position (if any), and the channel for grievance under clause 14.
9. How to Request Cancellation
9.1 In-Platform Mechanism
Where the participant retains platform access, cancellation is initiated through the in-platform Cancellation Request mechanism, accessible from account settings under "account". The mechanism allows the participant to identify the mode of cancellation (cooling-off, mid-programme, subscription, account closure, erasure), to confirm submission status, and to indicate whether a refund is sought.
Cancellation requests received through the in-platform mechanism are time-stamped, logged in the audit trail, and routed to the relevant Vasudhaiva team for processing. An on-screen confirmation is shown to the participant; an email confirmation is sent to the registered email address within two (2) Working Days.
9.2 Email Channel
Where the participant is unable to access the in-platform mechanism (for example, because the account has been suspended or because the participant has lost access to login credentials), the participant may submit a Cancellation Request by email to legal@vasudhaiva.ai with the subject line "Cancellation Request — [Participant Name] — [Order ID, if known]". Email Cancellation Requests are subject to the same conditions and timelines as in-platform requests, and to identity-verification steps where reasonably necessary.
9.3 Required Information
Whether submitted in-platform or by email, a Cancellation Request must include: (a) the participant’s full name as registered on Nirmaan AI; (b) the email address registered on the Nirmaan AI account; (c) the order identifier (if known); (d) the mode of cancellation sought; (e) whether a refund is sought; and (f) where the request is for erasure under the Digital Personal Data Protection Act, 2023, an indication of that basis. Vasudhaiva may require additional information to verify the participant’s identity, particularly where the request involves a refund or erasure.
10. Effect of Cancellation
On confirmation of cancellation, the following consequences take effect, in line with the timelines indicated below.
| Item | On Cancellation | Timeline |
|---|---|---|
| Platform access | Revoked. Login is disabled. Programme content is no longer accessible. | Immediate, on confirmation of cancellation |
| Public portfolio | Taken offline. The URL at nirmaan.vasudhaiva.ai/portfolio/[username] returns a generic "not found" response. | Within 30 days, per Privacy Policy clause 11.3 |
| Issued Certificate | Remains valid by default. Revoked only where (a) the cancellation triggers a refund, (b) Vasudhaiva exercises a contractual revocation right under ToS clause 10.4, or (c) the participant requests revocation. | On the date of refund approval, or on receipt of revocation request |
| Participant Submissions | Deleted or irreversibly anonymised, in line with the Privacy Policy. Where the participant has consented to use of anonymised submissions for platform improvement, anonymised forms may be retained. | Within 60 days, per Privacy Policy clause 7 |
| Career Context profile | Deleted as part of the account record. | Within 30 days of account closure plus the grace period |
| Active subscription / EMI plan | Future billing cycles are cancelled through the relevant payment gateway. Already-completed cycles are not reversed. | Cancellation instruction sent to the gateway within 7 working days; gateway timelines apply to settlement |
| Tax and payment records | Retained for the statutory period. | 8 years from the end of the relevant financial year, per Refund Policy clause 15 |
| Certificate verification record | Retained in minimised form, in line with Privacy Policy. | Indefinitely, per Privacy Policy clause 7 |
10.1 Certificate Status
A Certificate already issued to the participant before cancellation remains valid by default, on the basis that it evidences completion that has already occurred and that the participant may legitimately reference in their professional life. The Certificate is revoked, and the verification page is updated accordingly, only in the circumstances listed in the table above (refund-triggered revocation; revocation under clause 10.4 of the Terms of Service; or revocation requested by the participant).
10.2 Survival of Obligations
Notwithstanding cancellation, the clauses of the Terms of Service that are intended to survive termination continue to apply. These include the intellectual property, disclaimers, limitation of liability, indemnity, and dispute-resolution provisions in the Terms of Service. The licences granted in respect of the participant’s submissions (clause 9.2 of the Terms of Service) continue to apply only to the extent of irreversibly anonymised forms already used in platform improvement before the date of cancellation, and only where the participant had consented to such use through the consent flow.
11. Refund Consequences of Cancellation
Whether and to what extent a refund is due on cancellation is governed exclusively by the Refund Policy. The Refund Policy contains the headline windows (cooling-off, partial-refund, no-refund), the exceptions (material service failure, discontinuation, duplicate or erroneous charge, statutory right, goodwill), the processing timelines, the EMI-cancellation mechanics, the GST credit note position, and the cross-border tax handling. This Policy does not duplicate those provisions; the participant should refer to the Refund Policy for the refund framework.
A Cancellation Request that also seeks a refund is treated as both a Cancellation Request under this Policy and a Refund Request under the Refund Policy. The two are processed in a coordinated manner.
12. Reactivation After Cancellation
Where a participant who has cancelled wishes to re-engage with Nirmaan AI, the participant may enrol afresh through the standard enrolment flow. Re-enrolment does not restore the prior account, the prior portfolio, or the prior programme history; these are treated as having been ended by the earlier cancellation. The prevailing fee, prevailing Terms of Service, and prevailing programme structure at the time of re-enrolment will apply.
Where the prior cancellation was effected by Vasudhaiva for cause under clause 8.1, Vasudhaiva reserves the right, in its discretion, to refuse re-enrolment, or to permit re-enrolment subject to conditions. This is consistent with clause 1.2 of the Terms of Service, which excludes previously-suspended participants from eligibility unless expressly readmitted.
13. Processing Timelines
Vasudhaiva will use reasonable efforts to act on Cancellation Requests promptly. The standard timelines are:
- Acknowledgement of receipt: within 48 hours of submission of the Cancellation Request.
- Confirmation of cancellation: within 7 Working Days of receipt of all information necessary to process the request.
- Revocation of platform access: immediate, on confirmation of cancellation.
- Take-down of public portfolio: within 30 days.
- Deletion or anonymisation of Participant Submissions: within 60 days.
- Cancellation of recurring billing or EMI with the payment gateway: instruction issued within 7 Working Days; gateway and bank timelines apply thereafter.
- Refund settlement (where applicable): per the Refund Policy.
Delays caused by the participant (for example, failure to respond to identity-verification requests) or by third parties (for example, payment gateway downtime or bank-side processing delays) are not counted against Vasudhaiva’s timelines.
14. Grievance and Escalation
If the participant is not satisfied with the processing of a Cancellation Request, the participant may escalate the matter to the Grievance Officer at legal@vasudhaiva.ai. The Grievance Officer is the same person designated under the Privacy Policy and the Terms of Service. Acknowledgement is given within seventy-two (72) hours; a substantive response is provided within thirty (30) days.
If the matter remains unresolved, the participant may pursue the dispute-resolution channels set out in clause 20 of the Terms of Service. Where the participant is an Indian consumer, the participant may, additionally or alternatively, approach a Consumer Dispute Redressal Commission of competent jurisdiction. Where the participant is resident outside India, the participant retains all non-waivable statutory rights in their home jurisdiction.
15. Amendments to this Policy
We may revise this Policy from time to time. Where a revision is material, we will give at least thirty (30) days’ notice of the revision by email and by a prominent notice on Nirmaan AI. Cancellation Requests made before the effective date of a revised Policy are processed under the Policy in force at the time of the request, except where the revised Policy is more favourable to the participant, in which case the revised Policy applies. Continued use of Nirmaan AI after the effective date of a revised Policy constitutes acceptance of the revised Policy in respect of future Cancellation Requests.
